Key takeaways
- Use the same recording method for every shift.
- Keep start, finish and break time separate.
- Record the reason for corrections instead of hiding them.
- Run a short weekly review before errors accumulate.
1. What belongs in a reliable work record?
At minimum, record the date, workplace, start time, finish time and total break duration. If you estimate earnings, keep the pay type, ordinary-hours threshold and overtime multiplier attached to the same workplace profile.
An overnight shift should remain one continuous interval with a real start and end date. Treating midnight as the end of every shift can create missing hours or accidental duplicates.
- Date and workplace
- Start and finish timestamp
- Paid or unpaid breaks
- Reason for a manual correction
- Shift type or useful label
2. Live timer or manual timesheet?
A live shift timer is convenient when you can use your phone at work. Manual calendar entry is better when phone access is restricted or you are reconstructing an approved rota. Both methods should end up in the same timeline.
Before adding a record, check whether it overlaps an existing live or manual shift. Overlap warnings should identify the affected record clearly so you can correct the right entry instead of silently double-counting time.
3. Keep breaks separate from attendance time
Do not rely on memory to subtract breaks at the end of a month. Record them with the shift. If paid and unpaid breaks are handled differently at your workplace, label them separately.
For example, a 9:00–18:00 attendance window with a one-hour unpaid break produces eight recorded working hours. This is an illustration, not a legal calculation; your contract and applicable workplace rules determine the official result.
4. Why a weekly review works
A five-minute weekly check is easier than rebuilding dozens of shifts at month end. Look for missing finish times, implausibly long shifts, duplicate entries and unexpected workplace assignments while the week is still fresh.
Compare the weekly total with your rota or schedule. A large difference is a useful signal that a shift is missing, a timer remained active or the wrong workplace was selected.
5. How HourTally supports this workflow
HourTally combines a live shift timer, manual timesheets, breaks, overnight shifts and workplace-specific rules. Earnings are estimates for personal checking and are not a substitute for official payroll.
Once the record is complete, you can export a period as PDF, CSV or an Excel-compatible report and compare it with a payslip. Records stay encrypted on your device, and an account is not required.

Should I record work hours every day?+
Recording a shift as soon as it ends is most reliable. If that is not possible, schedule a consistent weekly review.
Which day should an overnight shift use?+
Store the complete start and finish date-time. How the result is reported may depend on workplace rules.
Is the pay estimate official?+
No. HourTally is a personal record and estimation tool, not official payroll, legal or financial advice.
